Cleaning a big list should be quick, safe, and possible to do again. This guide will show you step by step how to set up Bouncee Bulk Verification, understand your results, and make segments that protect the sender's reputation.
Before You Begin
● Set up your account at https://www.bouncee.net/
● Get your file ready: CSV or TXT with a clear title, like "email."
● Take out duplicates that are easy to see: It speeds up processing and prevents counting things twice.
● Make a copy: Keep the original list in a safe place.
Step 1: Put your list online
- In your Bouncee dashboard, click on Bulk Verification.
- Choose your CSV or TXT file and click Upload.
- Give the job a name, like "newsletter_q3_reactivation."
- Check that the program can find delimiters (usually commas) and map headers to email.
- Begin the task and leave the tab open, or come back later.
Pro tip: Use smaller batches for each source (ads, webinars, partners) so you can see how good the lists are for each channel.
Step 2: Keep an eye on progress and job status
● The dashboard shows how many items have been processed, how many are left, and how long it will take.
● While it runs, you can start getting segments ready.
● If a job doesn't work, look at the error note. It could be a problem with the header or delimiter.
Pro tip: If you need to, you can queue another list while big jobs are running in the background.
Step 3: Look over the results of the verification
After the job is done, open the Results view. Bouncee puts addresses into groups with clear labels like:
● Safe to send: Valid.
● Not valid: risk of hard bounce—remove right away.
● Risky or catch-all: Uncertain delivery; send with care.
● Disposable or role: People don't often get involved, so be careful.
● Not sure: Couldn't be sure; think about warming or testing.
● Goal: Turn a jumbled list into manageable parts that you can safely target.
Step 4: Export lists that have been split up
- Click Export and then choose CSV with filters.
- Make at least three files:
● valid.csv is the main sending audience. risky_catchall.csv is for sending slower and watching metrics.
● invalid_disposable.csv is for not sending and archiving as suppression.
● Save exports with date stamps, like newsletter_valid_2025-10-13.csv.
- To stop future imports from bringing back invalid and disposable addresses, keep a list of them.
Step 5: Add tags and re-import into your ESP/CRM
● Put valid.csv into your email program and give it the tag verified_valid.
● Upload risky_catchall.csv with the tag verified_caution.
● Only keep invalid_disposable.csv in your suppression folder.
Hygiene in ESP: Turn off auto-resubscribe for contacts that have been blocked.
Step 6: Change how you send things
Valid part: Regularly check opens, clicks, and complaints.
Risky or catch-all group:
● Lower daily limits.
● Send content that is good for your reputation first (engagement recapture, value-heavy).
● Quickly get rid of non-openers.
● Things we don't know: Try it with a very low volume or send an email asking for permission again.
Helpful hint: To keep your lists clean, use double opt-in on all new sign-ups.
Step 7: Make sure hygiene is always good
● Lists that are more than 90 days old must be re-verified every three months.
● Checks on forms in real time to stop bad data at the door: https://www.bouncee.net/single-verification
● Tracking at the source level: Tag contacts by where you got them for better insights.
Fixing problems
● I can't upload my CSV: Check the UTF-8 encoding and get rid of any extra quotes or semicolons.
● There are too many unknowns: Some domains won't let you validate, so try smaller follow-up batches or confirm by engagement.
● The results don't look right: Manually verify a few addresses to make sure they are in the right categories, and then contact support with examples.
KPI list after cleaning
● Hard bounce rate: Keep it below 2% for cold lists and even lower for nurtured lists.
● Spam complaints: Keep close to zero and slow down risky parts.
● The open rate and number of clicks should go up as the quality of the list goes up.
● Volume delivered: Expect a short-term drop, but you'll make more money per send.
